This page sets out the Privacy Policy and Terms of Service for the website, mobile application, and related online services (the “Services”) of Collinz International School (“Collinz”, “we”, “us”, or “our”). By using our Services, you agree to both.

We aim to keep this simple. If anything is unclear, please contact us using the details at the bottom of this page.

Privacy Policy

1. Information we collect

We collect information that you choose to give us when you interact with our Services, such as:

Name and (where relevant) the name of your child;
Contact details such as phone number and email;
Basic details required for enrolment, exam registration, or job applications;
Messages you send us through forms or our chat assistants;
Account details if you sign in to one of our portals.

If you sign in with a third-party account (for example, Google), we receive basic profile information (such as your name and email) from that provider so we can create or link your account.

2. How we use your information

We use your information to:

Respond to your enquiries and process bookings, registrations, or applications;
Send confirmations, reminders, and updates related to what you signed up for;
Operate, maintain, and improve our Services;
Meet our legal obligations.

We only send marketing messages if you have opted in, and you can opt out at any time.

3. What we do not do

We do not sell your personal data.
We do not build advertising profiles of you or your child.
We do not track your location.

4. Google user data (Google API Services User Data Policy)

Some of our Services let you connect a Google account — for example, to sign in with Google or to sync events with Google Calendar. When you do this, our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

We only request the Google account scopes needed for a feature you have chosen to use (for example, basic profile information for sign-in, or calendar access to create and read events you have asked us to sync).
We only use Google user data to provide or improve the specific user-facing feature you activated.
We do not sell Google user data, use it for advertising, or allow humans to read it, except (a) with your explicit consent, (b) where necessary for security or to comply with law, or (c) for limited internal operations such as debugging, and only where data is aggregated or anonymised where practical.
You can disconnect your Google account at any time from your account settings or from your Google Account’s connected apps page.

5. Meta (Facebook, Instagram, WhatsApp, Messenger)

We use Meta’s platforms to publish school content, run and measure ads, receive enquiries through Facebook and Instagram lead forms, Messenger and Instagram messages, and send WhatsApp announcements, fee reminders and event invitations to parents who have given us their number.

Data we receive:

Name, phone number, email and answers you submit in our lead forms;
Messages you send to our Facebook Pages, Instagram accounts or WhatsApp numbers;
WhatsApp delivery and read status for messages we send;
Aggregated ad and post statistics.

We do not receive your Facebook password or your private profile data.

How we use it: only to respond to enquiries, run school communications and measure our ads. We do not sell it or use it to build profiles of children.

Opting out: reply STOP to any WhatsApp message from us, or tell the campus, and we will stop non-essential messages.

Data deletion (Meta): to delete data we received through Facebook, Instagram, Messenger or WhatsApp, email school.gl@collinz.edu.my or school.bo@collinz.edu.my with your name and the phone number or account you used. We will confirm and delete it within 30 days, except where the law requires us to keep records.

6. Sharing

We share information only where needed to run our Services, for example with:

Trusted service providers who help us host the site, send emails, run our chat assistants, or process registrations, under confidentiality obligations;
Examination boards and education partners, where required to process an exam registration;
Authorities, where required by law.

7. Storage and security

Our providers may store data inside or outside Malaysia. We take reasonable steps to protect your information, but no online service can be guaranteed to be 100% secure.

8. Retention and deletion

We keep your information only as long as needed for the purpose it was collected, or as required by law.

To delete your account or data (including data received from Google), email school.gl@collinz.edu.my (Glenmarie Campus) or school.bo@collinz.edu.my (Klang Campus) from your registered email. We will action your request within a reasonable time, subject to any legal retention requirements.

9. Your rights

Under Malaysia’s Personal Data Protection Act 2010 (PDPA), you may ask us to access, correct, or delete your personal data, or withdraw consent to further processing. Contact us at the emails below.

10. Cookies and advertising measurement

We use cookies and local storage for basic functions such as keeping you signed in and remembering your language.

We also use Google Ads conversion measurement: when you submit one of our forms (for example an enquiry, RSVP, or exam registration), a small Google tag records that the form was submitted, so we can tell whether our advertising reaches the right families. This shares limited technical data (such as a cookie identifier and the page you came from) with Google for measurement and ad optimisation, as described in Google’s Business Data Responsibility page.

Visitors from the European Economic Area, the United Kingdom, Switzerland, and Quebec are asked for consent before any advertising measurement runs, and can accept or reject it. Anyone can change their choice at any time using the Cookie settings button on this page; rejecting disables advertising measurement while the rest of the site works normally.

If you arrive from one of our Google ads, we also save the ad click code and campaign tags with your enquiry. When your enquiry later leads to a visit or enrolment, we report that outcome to Google with the click code, so we can see which ads actually help families. Only if you have accepted advertising cookies, we also send your email address and phone number in hashed (scrambled, one-way) form, both when you submit a form and with these later reports, so Google can match the result to your ad click (enhanced conversions); Google does not receive them in readable form. Rejecting advertising cookies stops this.

11. Children

Many of our forms concern minors and are intended to be completed by a parent or legal guardian.

12. Changes

We may update this page from time to time. The “Last updated” date above will reflect the latest version.

Terms of Service

By using our Services, you agree to the following basic terms.

A. Using the Services

Please use our Services honestly and lawfully. Do not submit false information, attempt to gain unauthorised access, disrupt the Services, or use them to harm others.

B. Enquiries and bookings

Submitting an enquiry, RSVP, appointment, exam registration, or application does not by itself create a place, contract, or guarantee. Anything is confirmed only when we send you a written confirmation. Fees, schedules, and programme details may change.

C. AI chat assistants (website only)

Our AI chat assistants are available only on this website and are not part of the Collinz School mobile app. They give general information and can be inaccurate or incomplete. They are not professional, legal, medical, or admissions advice. For anything important (fees, admissions decisions, exam entries, timetables), please confirm with the relevant campus.

D. Accounts and third-party sign-in

You are responsible for the accuracy of the information you give us and for keeping any account credentials safe. If you sign in with a third-party provider (such as Google), you must also comply with that provider’s terms.

E. Content and intellectual property

The content on our Services (text, images, logos, videos, and materials) belongs to Collinz or its licensors and is for your personal, non-commercial use. Please don’t copy or redistribute it without our permission, except where we have expressly made it available for download.

F. Third-party links

Our Services may link to third-party sites or tools. We are not responsible for their content or practices.

G. Availability

We try to keep the Services available but cannot guarantee they will always be uninterrupted or error-free. We may change or discontinue parts of the Services at any time.

H. Disclaimer and liability

The Services are provided on an “as is” basis. To the extent permitted by law, Collinz is not liable for indirect or consequential loss arising from your use of the Services. Nothing here excludes any liability that cannot be excluded under Malaysian law.

I. Mobile app

Collinz School may provide a mobile app (available on the App Store and Google Play Store) for parents and guardians. The app lets you view your child’s attendance, read school announcements, and keep track of invoices. You are responsible for keeping your app login credentials safe. The app is provided as a convenience; important notices or payment matters may still be communicated through other channels.

J. Governing law

These terms are governed by the laws of Malaysia, and any disputes will be handled by the Malaysian courts.
